Invite and Manage Team Members

Arrange makes it easy to collaborate with your entire team. Whether you work with other recruiters, coordinators, sourcers, or hiring managers, you can invite them into your organization and manage access directly from your dashboard.
This guide explains how to invite teammates, manage your user list, and understand what team members can do inside Arrange.
1. Where to Manage Team Members
To access your team settings:
Log in at app.arrangeai.io
In the left sidebar, click My Users
From here, you can:
Invite new users
View all active users in your organization
See pending invitations
Resend invites if needed
This section acts as your team’s central roster.
2. How to Invite a New Team Member
Inviting a teammate takes less than a minute.
To invite someone:
Navigate to My Users
Click Invite User
Enter:
First Name
Last Name
Email Address
Click Send User Request
That’s it! Your teammate will instantly receive an email inviting them to join your organization on Arrange.
3. What Your Team Member Sees
When you invite someone:
They receive a branded email with your company name
The email includes a sign-up link
They create their account and are automatically added to your organization
Once they sign in, they’ll see the same dashboard and have the same access level as the rest of your team.
4. What Team Members Can Do
Anyone you invite becomes part of your organization and can:
Arrange interviews
Use Candidate First, Client First, Matchmaker, Arrange Connect, Quick Arrange
Generate Candidate Scheduling Links
View and manage their own candidates and clients
Access shared client records and hiring manager lists
See and use the Live Stage Tracker
Reschedule or cancel interviews
Share or resend scheduling links
Edit interviews they coordinated
Arrange is designed to fully support collaboration across recruiting, coordination, and client-facing teams.
5. Managing Pending Invitations
If a teammate hasn’t accepted their invite:
Their status appears as Pending in the My Users list
You can resend the invite email with one click
If needed, you can delete the invitation and send a new one
This helps ensure teammates can easily access Arrange without confusion.
6. Removing Team Members
If someone leaves the organization or no longer needs access, you can remove them from your user list.
To remove a user:
Go to My Users
Find the user
Select the remove/delete option
This ensures only active team members have scheduling and coordination access.
7. When to Invite Team Members
Arrange works best when the whole coordination chain is inside the platform. Invite teammates who:
Schedule interviews for others
Send candidate submissions
Manage hiring pipelines
Coordinate calendars
Communicate with clients or hiring managers
Need to monitor the Live Stage Tracker
