Welcome to your Arrange Dashboard — the command center where every interview, candidate, client, and scheduling flow comes together. This guide walks you through each major section so you can navigate Arrange confidently from day one.
1. Dashboard Overview
After signing in at app.arrangeai.io, you’ll land on your Arrange Dashboard.
From this single view, you can:
Arrange new interviews
Generate scheduling links
Track every interview in real time
Navigate your schedule by date
Manage candidates and clients
Invite your team
Arrange is built to streamline every step of coordination so you never have to bounce between systems.
Here's the full updated section with Interview Mode folded in:
2. Arrange an Interview
At the top of your dashboard, click Arrange an Interview to open the interview setup flow. Fill in your client, candidates, and hiring managers, then configure the details below before choosing your scheduling process.
Interview Mode
Choose who is responsible for hosting the meeting.
I will select the interview mode — You choose the interview type and you will be the one hosting: Zoom, Google Meet, Microsoft Teams, Phone, In-Person, or Other. If you've connected a video conferencing tool, it will show as connected.
Client will select the interview mode — Your client chooses how they want to meet and they will be the one hosting. They'll be prompted to select from Video, Phone, or In-Person when they receive their scheduling request.
Scheduling Process
Choose the flow that fits your workflow.
Candidate Scheduling Link - Generate a scheduling link to include in your candidate submissions to your clients/hiring managers. Your client receives the link and chooses how they want to kick off scheduling - no back-and-forth required on your end.
Prefer to trigger scheduling yourself?
Get availability from candidate first — Collect availability from the candidate and send it to the client.
Get availability from client first — Collect availability from the client and send it to the candidate. If you already know the client's availability, you can input it on their behalf and skip straight to sending it to the candidate.
Matchmaker — Both parties share their availability and Arrange automatically books the earliest match.
Quick Arrange / Select time manually — You already know the time. Arrange sends the calendar invites instantly.
Arrange Connect (Advanced) — Connect your client's calendar to generate a real-time booking link. Candidates receive the link and schedule directly against live availability - no back-and-forth, no manual coordination.
All flows trigger automated, white-labeled communication and update your Live Stage Tracker in real time.
3. Live Stage Tracker
The Live Stage Tracker shows every interview in progress and exactly where it stands.
Each row displays:
Client
Candidate
Arranged by
Current status (e.g., Candidate Availability Requested, Availability Shared, Interview Arranged etc)
On the right side, you have full control with quick actions:
Availability — view time slots
Reminder — resend any next-step email
Reschedule — adjust date/time
Cancel
Manual links — Access the exact action links that candidates and hiring managers receive in their emails - whether that's to provide availability, confirm a time, or take any other next step. Useful if someone missed an email or you want to follow up directly without waiting for them to find it.
Every update from candidates and clients appears instantly.
4. Upcoming Interviews
Once an interview is confirmed, it appears in Upcoming Interviews.
Here you can:
View confirmed date & time
See who the candidate is meeting
Edit the interview from the Live Stage Tracker (change duration, time, add attendees, meeting mode etc)
It’s a clean snapshot of everything on your schedule.
5. Calendar Navigation
On the right side of the dashboard is a calendar date selector.
This is synced with your Google or Outlook calendar.
It allows you to:
Click any date
Jump to past or future days
View interviews scheduled for that specific date
It’s a fast way to move through your schedule inside the Arrange dashboard.
6. Managing Candidates & Clients
In the left-side menu, you'll see:
My Candidates
Add candidates manually or drag & drop their resume
Use Extract Data to auto-populate their profile
Access their unique scheduling links
My Clients/Hiring Managers
Add clients and their hiring managers
Request or resend calendar access (for Arrange Connect)
Manage all client-side contacts in one place
These act as your internal director. That said, you don't need to add anyone ahead of time - when setting up an interview, you can create new candidates and clients on the spot directly from the Arrange an Interview flow.
7. Invite Your Team
To bring teammates into your workspace:
Click My Users
Select Invite User
Enter their name and email
Click Send User Request
They’ll receive an invitation email and join your organization with full access.
8. Full Control at Every Step
From the dashboard, you can:
Trigger new scheduling flows
Track progress in real time
Review and edit upcoming interviews
Navigate between dates
Manage candidates and clients
Invite teammates
Access manual links anytime
Arrange automates the back-and-forth while keeping you fully in the driver’s seat.
