Feature Request: Optional Booking Lead Time Buffer

Hey Brian, I wanted to share a feature idea that I think would be really helpful. It would be great if there were an option to set a minimum booking lead time (for example, 24 hours) that users could toggle on or off. This would prevent people from booking meetings that start within the next 24 hours if the feature is enabled. For our recruiting team, this would give recruiters enough time to prepare for candidate calls instead of having last-minute meetings suddenly appear on their calendars. It would also help create a better candidate experience by reducing situations where we have to ask candidates to rebook or reschedule because the recruiter didn't have adequate notice. Having this as an optional setting would make it flexible for teams with different scheduling preferences. Just wanted to pass along the idea, I think it could be a valuable addition to the platform! More power to ya! - alyssa dayot

Sender Domain setup guidance

Tag: Email · Priority: Medium The setup page is confusing for non-technical users, especially agency owners worried about breaking their inbox. Add a “Before you start” section: use a subdomain, you need DNS access, only add records and never change existing ones, verification can take a few hours Offer an option to email the records to an IT contact Link to book a setup call

Add team recruiters to calendar invites

Tag: Scheduling · Priority: Medium · Requested by: Vaco The calendar invite already comes from the Arrange user’s connected calendar. Teams also want other recruiters on the invite, like the recruiter who owns the candidate. Today the workaround is adding them as extra hiring managers, which the client can see in the scheduling flow. “Recruiters” multi-select field in Arrange an Interview Users can add a new recruiter (name and email) directly from the field Recruiters are saved to an account-wide list, available on every interview no matter which client it’s for For each interview, choose whether selected recruiters are CC’d or BCC’d Recruiters are only added to the final calendar invite, not to client or candidate forms or scheduling emails With the separate invites setting, recruiters go on the client invite only Recruiters don’t get availability alerts

Reply-To on outgoing emails

Tag: Email · Priority: High · Found in Sender Domain testing With a custom sender domain, replies currently bounce, because the sending subdomain has no inbox. Candidates and clients reply to interview emails all the time, so this needs to be in place before Sender Domain ships. Set a Reply-To header on every outgoing email, custom domain or default Default to the email of the Arrange user who arranged the interview Add a “Replies go to” field on the Sender Domain page, under the sender address Can maybe also look to CC the arrange user in real time on these emails too… so real time visibility and they can reply on that thread…

Spott ATS Integration

Add integration with Spott, an AI native ATS platform, so Arrange can sync directly with Spott accounts for scheduling. Spott's team has confirmed there's no overlap with their current partner ecosystem, making Arrange a clear fit. Their ICP is recruiting agencies and they are growing fast. Will want to knock this out as soon as we can but wanted to do ezekia first as well. Once built, we'll do a joint announcement with Spott (newsletter and/or webinar) and get cross-listed on each other's integration pages to drive visibility to both user bases.

invites to be sent out automatically marked as private

the confidential nature of our executive search work requires a higher level of flexibility than the platform currently offers. As we discussed during the demo, the ability to customize or dynamically change meeting titles is a critical requirement for our workflow. Without that capability, we aren't able to use the platform in a way that protects the discretion our clients and candidates expect. We appreciate the time and attention you dedicated to the process. If Arrangr introduces the ability to customize meeting titles in the future, we'd be happy to revisit the platform. Until then, we don't believe it's the right fit for our operational needs. Hi Brian, Thank you for your offer to further develop your app. We would need the ability for invites to be sent automatically marked as private on our partner’s calendars. This ensures confidentiality ion the event that there is a shared calendar. From what I understand, this is an individual user setting on the client side. Thoughts? cristina sacco - protis global

Flexible Candidate Time Slot Selection

I would like to know if it's possible for candidates to select exact interview times within a broader availability window, rather than being limited to fixed blocks based on the set interview duration. For example, if a client is available from 8-11 AM for a 45-minute interview, candidates currently see 45-minute blocks (e.g., 8:00-8:45, 8:45-9:30). My team would prefer candidates to be able to choose a specific time like 9:45-10:30 within that 8-11 AM range.

Multi-Hiring Manager Matchmaker and Client First

Requested by: Rachel Petersen (power user, featured customer story), Oct 20, 2026 Problem When an interview involves a candidate plus two or more hiring managers, only the primary hiring manager gets the availability request. They then have to coordinate with the others offline and submit a joint availability. Arrange is pushing the hardest coordination step back onto the client. Rachel called this her only point of friction. New toggle in the Arrange an Interview modal When the recruiter selects two or more hiring managers, if they choose matchmaker or client first - a toggle appears: How should hiring managers share availability? One person fills out for everyone: today’s behavior and the default. The primary submits availability on behalf of the group. This fits EAs, coordinators, and clients who prefer to sort it out internally. Each hiring manager fills out individually: each one gets their own email and submits independently, and Arrange finds the overlap. The toggle only shows when multiple hiring managers are selected. It applies to Matchmaker and Client First. Individual mode behavior Matchmaker: once all hiring managers and the candidate submit, the invite goes out at the earliest time that works for everyone. Client First: once all hiring managers submit, the candidate only sees the times where they all overlap. No full match (Matchmaker): the candidate sees only the times where the hiring managers overlap. The candidate can update their availability but cannot request more times. No overlap among the hiring managers: don’t email the candidate. Instead, go back to the hiring managers with a “couldn’t find a time that works for everyone” email that shows when the others are free, and ask them to add times. Submission Link and coordinator use cases The person who clicks a Submission Link may not be attending the interview. They could be an EA, an HR coordinator, or someone forwarding the link. Two roles need to be separated: Coordinator: drives the scheduling on the client side. Attendees: the people actually in the interview. After the client picks Matchmaker or “provide my own availability,” ask: Who’s joining this interview? Just me. Same as today. Me and others. They add the interviewers and enter their own availability, and each of the others gets an email. I’m scheduling for someone else. They add the interviewers, then choose either “ask each of them” or “I’ll enter it for them.” Either way, the coordinator gets status updates and the “no overlap” or reminder emails, and is left off the invite unless they opt in. How the recruiter and client choices interact: If the recruiter already selected multiple hiring managers and set the toggle, prefill those names and apply the recruiter’s choice, so the clicker just confirms. If the clicker’s email isn’t on the recruiter’s list, ask whether they’re attending or coordinating. If the client adds a new interviewer, notify the recruiter. Guardrails Required vs optional hiring managers. The primary is required by default. If not everyone overlaps, match on the required hiring managers plus as many optional ones as possible. Reminder at 24 hours. After that, the recruiter or coordinator can proceed with the people who responded, or drop or replace someone. The primary or coordinator can submit for the whole group at any

Atlas ATS integration

Integrate Arrange with Atlas (recruitwithatlas.com), an ATS built for recruiting agencies. The goal is the same experience as our existing ATS integrations: connect with an API key, pull candidates and jobs into Arrange, and log scheduled, rescheduled and canceled interviews back to Atlas automatically. Atlas has a public REST API with API key auth, so no partner approval is needed. Docs: https://api.recruitwithatlas.com/api/v1/docs Requested by: Justin Levinson, Coming Up Creative (paying customer, about 4 users) Status notes: Planning is underway. We’ve asked Justin whether Atlas can provide a sandbox account for testing.

Email alerts when availability is shared

Tag: Notifications · Priority: High · Requested by: Vaco Recruiters want an email the moment a candidate or client shares availability, so they can follow up by phone/text/email right away instead of checking the Live Stage Tracker. Trigger A: candidate shares availability Trigger B: client shares availability Short email with candidate name, company, and a link to the interview in the tracker and the manual link as well. Ex: So if candidate shared availability - manual link (client form link) - so the client can review and confirm. Sent only to the Arrange user who arranged the interview Opt-in toggle per user in Settings No alert needed for “scheduled,” since the calendar invite covers it

Branded email templates - logo, colors, fonts, and button styling

Users want the ability to customize the look and feel of automated confirmation, reschedule, and cancel emails to match their brand. This goes beyond current logo placement on scheduling forms. Requested customization options: Logo placement in email header Background color Header and footer background color Body text color Button color and button text color Font (web-safe options sufficient) All settings would be per-account so each user's emails reflect their own brand. No custom HTML needed - a settings tab with simple controls would cover the core ask. User impact: Particularly relevant for agencies sending emails under their own brand to candidates and clients. Current white labeling (logo on forms) is a good start but the emails feel generic in comparison. Status: Planned / Future roadmap Tags: white-labeling, email, branding, settings

the ability to multi select candidates when generate a candidate scheduling link

You multi select candidates— generate the link —- send to the client —- now the client can select which candidates they want to meet — then if they choose provide their own availability —- all the candidates get notified right away individually - whoever chooses and confirms a time - that time would not be visible for others when scheduling… if they chose “receive availability” — all candidates would be asked to share avails individually and the emails would then flow through to the client.. all activity would update in live stage tracker per each column/candidate —- this feature was requested by Kristin Thompson at Spectrum Recruiting

The ability to send separate calendar invites - one to client side and one to candidate side - hiding email addresses for the candidate

main purpose is for confidentiality - clients dont want candidates seeing their email addresses and info.. recruiters want to be the buffer between everything… there should be a toggle in Arrange settings to turn this on or off as preference… when invites go out either: A. one universal calendar invite with all parties cc’d B. Two separate invites - one to client/hiring manager’s side and one to candidate side. This feature was requested by Kristin Thompson - Spectrum Recruiting

Show timestamp of last reminder sent

Requested by: Rachel Petersen, Escalon When sending email reminders to a candidate or client from the Live Stage Tracker - while waiting on a response, there's no way to see when the last reminder was sent. Add a visible indicator (e.g. "Last reminder sent: [date/time]") so users can track reminder activity without guessing or resending unnecessarily.

Show time zone on availability display

Requested by: Rachel Petersen, Escalon When viewing candidate/client availability in the Live Stage Tracker - for example: Matchmaker, there's no visible label indicating what time zone the displayed times are in. Times are already auto-converted to the viewer's local time zone, but this isn't communicated in the UI, so it's easy to second-guess. Add a time zone label near the availability display for clarity.

bulk import candidate name, email, resume from either an excel or CSV file into arrange

Good morning, Brian, For us it would be a helpful feature because we do not have an ATS so we put all scheduled interview on a tracking excel sheet. So, if we had the option to just upload that sheet with current active interviews, it would save us from having to put in each candidate manually in Arrange. Not a deal breaker of course but just wanted to throw it out there Thank you, Ashley Lytle - contract bus drivers METS

Client First Mode for Manager Availability (Multiple Candidates)

I would like to set up Client First mode to collect availability from a single manager first, without needing to pre-select specific candidates. My goal is to then share that manager's availability with multiple candidates who can independently select a time slot. I need guidance on how to configure this workflow, especially since the documentation doesn't explicitly detail initiating Client First mode without candidates already in the system.
