At Arrange, protecting your data — and the data of your candidates and clients — is a top priority. We designed Arrange so you can streamline scheduling without ever compromising privacy, security, or control.

This guide explains how Arrange handles access, storage, and security across calendars, candidates, clients, and integrations.

1. Your Data Is Always Private

Arrange follows a privacy-first model. This means:

✔ We only access the data required to power scheduling.

No unnecessary data is collected or stored.

✔ You are always in control of what you share.

Calendar connections, ATS integrations, and hiring-manager access are all opt-in and can be revoked at any time.

✔ Arrange never shares your information with third parties

Your data is never sold or shared for advertising or analytics.

2. Calendar Privacy: Free/Busy Only

When you connect your calendar (Google or Microsoft), Arrange never sees event titles, descriptions, attendee lists, locations, or notes.

Arrange only accesses:

🔹 Free/busy availability

Used to determine open time slots for scheduling.

🔹 Calendar you’ve authorized to send invites from

If you choose a specific calendar for interview invites, Arrange only needs permission to create those events.

Arrange cannot view or read the actual contents of any event.

This applies to:

• Dashboard scheduling (Candidate First, Client First, Matchmaker, Arrange Connect, Quick Arrange)

• Arrange With Me

• Arrange With Us

3. ATS Data Security

When you connect an ATS (Loxo, Crelate, Recruiterflow):

• Arrange uses your API token/API key to read basic candidate profile data

• Arrange does not modify or delete ATS records

• Arrange does not pull hiring manager or job data

• Arrange only imports candidate info when you choose to do so

Arrange never:

❌ Pulls entire databases

❌ Syncs data continuously

❌ Stores your ATS password

❌ Pushes changes back into your ATS automatically

Candidate information is only retrieved at the moment you select a candidate during scheduling.

4. Client & Hiring Manager Privacy

When you send an access request to a hiring manager for Arrange Connect:

• They choose whether to grant calendar access

• They can disconnect at any time

• Arrange only accesses their free/busy availability to find matching times

• Their personal calendar details remain completely hidden from you, the candidate, and your team

5. Candidate & Client Information Protection

Any candidate or client data stored in Arrange is:

Encrypted at rest and in transit

Industry-standard encryption ensures all data is protected whether it’s being stored or transmitted.

Visible only to your team

No other customer or external party can access your data.

Limited to what you explicitly provide

Arrange does not scrape, track, or collect additional information.

6. Secure Access Controls

Arrange uses secure authentication and permission systems:

• OAuth-based Google and Microsoft connections

• API token / key–based ATS integrations

• Role-based access for team members

• Granular controls for hiring managers

• Encryption across all systems

We never store login credentials for your external accounts.

7. Minimal Data Retention

Arrange stores only the information needed to:

• Create candidate profiles

• Generate interview invitations

• Maintain accurate interview history

• Support scheduling flows

You can:

• Delete candidates

• Remove clients

• Disconnect calendars

• Revoke ATS access

any time.

8. Infrastructure & Monitoring

Arrange uses secure cloud infrastructure with:

• Encrypted databases

• Distributed backups

• Redundant failover systems

• Continuous monitoring for unusual activity

• Strict internal access controls

Only authorized members of the Arrange engineering team can access production systems, and solely for maintenance or security purposes.

9. Your Control, Your Data

At any time, you can:

• Disconnect your calendar

• Disconnect your ATS

• Remove hiring managers

• Delete candidates

• Export your data

• Request account deletion

Your data belongs to you — Arrange only processes it to support your scheduling workflows.
